Privacy Policy
GDPR / EU 2016/6791. Data Controller. RapidCodeFlow, ul. Kosciuszki 28, 40-048 Katowice, Poland, is the data controller for all personal data processed through this website. Contact: [email protected].
2. Data We Collect. We collect name, email address, phone number, company name, and project details submitted via our contact form. We also collect standard server logs (IP address, browser type, access timestamps) for security and performance monitoring.
3. Purpose of Processing. Personal data is processed solely for: (a) responding to project inquiries, (b) delivering contracted services, (c) sending invoices and contractual documents, and (d) complying with Polish and EU tax reporting obligations.
4. Legal Basis. Processing is based on GDPR Article 6(1)(b) (contractual necessity) and Article 6(1)(f) (legitimate interest in responding to business inquiries). We do not process data for profiling or automated decision-making.
5. Data Retention. Contact form submissions are retained for 24 months. Contract-related data is retained for the duration of the engagement plus 5 years (Polish tax law requirement). Server logs are purged after 90 days.
6. Data Sharing. We do not sell, rent, or share personal data with third-party data brokers. Data may be shared with: (a) payment processors (Stripe) for transaction processing, (b) email service providers for communication delivery, and (c) tax authorities as required by law.
7. Data Security. All data is stored on EU-hosted infrastructure with TLS 1.3 encryption in transit and AES-256 encryption at rest. Access is restricted to authorized personnel via multi-factor authentication.
8. Your Rights. Under GDPR, you have the right to access, rectify, erase, restrict processing, and port your personal data. You may also object to processing and lodge a complaint with the Polish data protection authority (UODO). To exercise these rights, contact [email protected].
Terms of Service
Commercial Terms1. Scope of Agreement. These Terms govern all web development, integration, and consulting services provided by RapidCodeFlow, ul. Kosciuszki 28, 40-048 Katowice, Poland. Specific project scope is defined in individual Statements of Work (SOW).
2. Quotations & Payment. Quotations are valid for 30 calendar days from issue. Invoices are payable within 14 days of invoice date via bank transfer or Stripe payment link. Late payments incur a 2% monthly surcharge.
3. Project Delivery. Delivery timelines are estimated in good faith. Delays caused by client-side feedback, third-party integrations, or scope changes do not affect RapidCodeFlow's delivery obligations. Milestone-based delivery applies to projects exceeding 4 weeks.
4. Intellectual Property. Upon full payment, all intellectual property rights in the delivered software, code, and design assets transfer to the Client. RapidCodeFlow retains the right to reference the project in marketing materials unless explicitly prohibited in the SOW.
5. Warranty. RapidCodeFlow provides a 30-day post-delivery warranty covering defects in the delivered code. This warranty does not cover issues arising from third-party services, client modifications, or force majeure events.
6. Limitation of Liability. RapidCodeFlow's total aggregate liability under any agreement shall not exceed the total fees paid by the Client for the specific project giving rise to the claim. We are not liable for indirect, consequential, or incidental damages.
7. Termination. Either party may terminate a project with 14 days written notice. Upon termination, the Client is invoiced for all work completed to date. Prepaid amounts for undelivered work are refunded within 30 days.
Refund Policy
Reimbursement Terms1. Eligibility. Refund requests must be submitted in writing to [email protected] within 14 calendar days of the relevant invoice date.
2. Pre-Development Refund. If a project has not yet commenced development (no code commits or design deliverables), a full refund of the advance payment will be issued within 14 business days.
3. Partial Development Refund. If development has commenced but the project is incomplete, a pro-rata refund is calculated based on the percentage of the project scope remaining undelivered. Completed milestones are non-refundable.
4. Completed Work. Fully delivered and accepted projects are non-refundable. The 30-day post-delivery warranty (Section 5 of Terms) covers defect resolution at no additional cost.
5. Recurring Services. Monthly retainer services (Maintenance & SLA) may be cancelled with 30 days written notice. The current billing period is non-refundable; no further charges will apply after the notice period.
6. Refund Method. All refunds are issued via the original payment method. Bank transfer refunds are processed within 14 business days. Stripe payment link refunds are processed within 5-10 business days.
7. Disputes. Refund disputes are governed by Polish commercial law. Both parties agree to attempt good-faith resolution before initiating formal proceedings.
